Constitution and Club Rules

Section 1 - Name and Object

1.1 The name of the Club shall be "The Brentford Cruising Club" (hereinafter referred to as the "the club").

1.2 The object for which the club is formed is to promote and facilitate:

A) Cruising the available rivers, canals and coastal seaways
B) Internal and external social contact
C) Improving boat and seamanship standards

Section 2 - Officers

2.1 The Officers of the club shall be full members of the club and shall consist of a Commodore, a Vice-Commodore, a Rear-Commodore, Secretary and Treasurer. Officers shall be elected at the Annual General Meeting in each year and shall hold office for one year, retiring at the termination of the Annual General Meeting in each year. All Officers of the club shall be eligible for re-election.

Commodore

Nominated head of the club and Chairman of the club committee.

Vice-Commodore

Deputy to the Commodore and responsible for club cruising and social activities.

Rear-Commodore

Responsible for advice on boat handling and for training programmes and facilities.

Secretary

Keep a register of the club members' names and addresses; conduct the correspondence of the club; keep custody of all club documents, keep full minutes of all meetings of the club.

Treasurer

Keep books of account as are necessary to give a true and fair view of the state of the finances of the club. Prepare and present an annual statement of account as at 30th September in each year, for signature by the Commodore and Treasurer prior to being circulated to all members.

Section 3 - Membership

3.1 Categories and votes of membership

Full membership Individual with one vote.

Family membership Nominated family member with one vote.

Temporary member Visitor to the Brentford Dock Marina with no vote.

Honorary Member Brentford Dock Marina Manager with no vote.

3.2 The rate of subscription fee, for each category of membership shall be proposed by the committee to the members at the Annual General Meeting in each year. Any proposed changes shall be approved by a majority of those present and entitled to vote and shall become operative on the first clay of January in the following year. The fee will be payable to the Treasurer on demand.

3.3 Every candidate for membership (except the Honorary Member) shall be proposed and seconded by a full or nominated family member of the club. An application for membership shall he made in writing to the club secretary giving full name, address, telephone number, email address and details of boat as appropriate. They will be expected to seek sponsorship from a full or family club member. The committee shall vet applications and the secretary will notify the applicant in writing of the decision.

3.4 Every member must comply with the club rules and also those of the Brentford Dock Marina. Failure to do so could result in the committee withdrawing their membership.

3.5 Club and nominated family members will be entitled to:

A) Attend all general meetings of the club
B) Be elected to and serve on the club committee
C) Fly the club burgee on their boat
D) Attend and invite guests to club functions (cruising and social)
E) Make use of club facilities and amenities

Section 4 - Management Committee

4.1 The club shall be managed by an elected committee that shall consist of the Officers and not more than 5 full or nominated family members of the club elected at the Annual General Meeting each year to hold office until the termination of the following Annual General Meeting.

4.2 Candidates for election to the Committee shall be those members of the retiring committee who wish to offer themselves for re-election. Any other full or nominated family member of the club who wishes to stand for election shall be nominated and seconded in writing to the secretary prior to the Annual General Meeting or otherwise from the floor during the Annual General Meeting. Any nominee standing for Commodore must have served as a committee member for at least one year prior to being nominated for the post.

4.3 If the number of candidates for election is greater than the number of vacancies to be filled then there shall be a ballot. If the number of candidates for election is equal to or less than the number of vacancies to be filled then all candidates shall be deemed to be elected if a majority of those present at the Annual General Meeting, and entitled to vote, vote in favour of such election.

4.4 If for any reason a vacancy shall occur, the committee may co-opt a full or nominated family member to fill such a vacancy until the next Annual General Meeting.

Section 5 - Meetings of the Club

5.1 The Annual General Meeting of tile Club shall be held each year in the month of November on a date to be fixed by the committee; other general meetings will be held during the year as appropriate. At least 21 days before any such meeting, the Secretary will send out written notification to all members informing them of the business to be brought forward thereat.

5.2 The accounts for the previous year shall be submitted to the Annual General Meeting having been prepared by the Treasurer and signed by the Commodore.

5.3 The committee shall meet at least every quarter. Five members present shall form a quorum at a meeting of the committee.

Section 6 - Rules

6.1 These rules replace those of 1981 as amended in 1991.
